9 Microsoft OneDrive Tips to Improve Your Productivity

OneDrive is the go-to cloud storage solution for many, with robust integration with Microsoft 365 and Windows apps, mobile apps, Personal Vault, and powerful media management. You’ll find a list of useful features to manage, share and protect your files like a pro. Manage your media files efficiently

OneDrive has a gallery view where you can view your uploaded photos and videos. You can create albums, filter them by locations and type, and mark the most important ones as favorites for easy access. Here’s how.

  1. Visit OneDrive on the web and sign in with your Microsoft account details.

  2. Move to Photos and select images and videos.

  3. Click Add to album up.

  4. Select New album.

  5. Give it a relevant name and create an album.

You can click a small star icon below a photo or video to mark it as a favorite and access it from the same album.

Edit your photos like a pro

Whether you use OneDrive on the web or on the phone, it has a decent editor for editing your files with just a few clicks. Let’s check it in action.

  1. Go to OneDrive Media Library on the web and select a photo.

  2. Click To modify. You can rotate, resize and crop images, adjust brightness, exposure, contrast and other properties, apply different filters and explore markup tools for basic annotations.

Editing options are even better on the OneDrive-based Photos app on Windows. You can erase the photobombers, remove the entire background, and explore the Microsoft Designer integration to edit them further with more options.

Password protect and set an expiration date for shared files

Security features are where OneDrive shines. You can password protect and set expiration dates for sensitive links to keep prying eyes away. I use these features all the time when sharing private company files with team members.

  1. Open OneDrive Web and click on the share the menu next to a folder or file.

  2. Select Anyone with this link can edit.

  3. Set an expiration date and password.

  4. Click Apply and you’re ready to go.

  5. Share the password with team members so they can access the files.

Configure and use Personal Vault

Personal Vault is a digital safe for your media files and confidential documents. This adds an extra layer of security and gives you peace of mind. Let’s install it.

  1. Visit OneDrive on the web.

  2. Select Personal safe.

  3. Log in with your account details for authentication.

  4. Upload your sensitive photos and files to Personal Vault to secure your data.

Set up Personal Vault on OneDrive mobile apps and use biometrics to authenticate your identity.

Back up your phone’s media library to OneDrive

Like other cloud storage platforms, OneDrive lets you automatically back up your photos and videos. You also have the option to backup only when loading, backup only over Wi-Fi, exclude device folders, and organize files by month and year.

  1. Open OneDrive on your phone.

  2. Press your account photo and open Settings.

  4. You can include videos, restrict the backup process over Wi-Fi to save mobile data, and backup while charging to save battery life.

Make your OneDrive files available offline

Do you frequently use multiple OneDrive files in your workflow? You can mark these files and folders for offline use and access them without an Internet connection.

  1. Open OneDrive on your phone and move it Files tongue.

  2. Press the overflow menu (the three dots) next to the files or folders and turn on the Make available offline to fall over.

  3. You can now access these folders and files from the Offline menu in the upper right corner.

Delete photos and videos backed up to OneDrive on your phone

If your Android phone is low on storage, you can delete photos and videos backed up to OneDrive. Like Google Photos, OneDrive offers a one-click solution to get the job done.

  1. Go to OneDrive settings on your phone.

  2. Faucet Free up space on this device.

  3. Browse the photos and videos and confirm your decision.

Enable app lock on your phone

Do you store sensitive data and files in your OneDrive cloud storage app? Microsoft offers biometric protection on iPhone and Android. Here’s how to configure it.

  1. Go to OneDrive settings (refer to steps above).

  2. Create a six-digit PIN and confirm it.

  3. Turn it on Use biometrics to fall over.

  4. Unlock your OneDrive account with a fingerprint or Face ID.

Explore OneDrive files on demand

OneDrive supports files on demand on Windows and Mac. You can mirror your account in Finder or File Explorer app and download specific ones to save storage space on your device. Let’s take Mac as an example.

  1. Open Researcher and go to your house OneDrive storage.

  2. You may notice small cloud icons under files and folders. This indicates that the files are stored in the cloud and not on the device.

  3. Right-click on a file and select Always keep on this device to download it for offline use.

  4. When you are finished with the file, select Free up space in the same menu to move it to the cloud.
